Adding and Managing Entries

After saving the fleet, navigate to Scoring Fleets → [Fleet Name] → Entries (the people icon).

Auto-Populate from Criteria

If filter criteria are set on the fleet, click Populate Entries. The system finds all active, non-deleted competitors matching the criteria and creates an entry for each one. Competitors already in the fleet are skipped, so it is safe to run Populate again after new competitors register for the event.

Add Individually

Use the Add Entry form at the top of the entries page to add a single competitor. All active competitors not yet in the fleet appear in the dropdown.

Removing an Entry

Click the trash icon next to an entry to remove it. Removing an entry also permanently deletes all of that competitor's finishes and scores in this fleet.

Handicap Ratings — Manual Entry

For Time-on-Time and Time-on-Distance fleets, each entry requires a numeric rating. Ratings are entered in the Rating column on the Entries page after the fleet is populated. The column header shows the rating type in use:

• Time-on-Time (TCF): Enter the Time Correction Factor as a decimal (e.g. 0.9823). Lower TCF = faster handicap. This is the default format for Time-on-Time fleets.
• Time-on-Time (PN) — Portsmouth / NHC: When the fleet's Rating Format is set to Portsmouth Number, enter the PN or NHC number directly (e.g. 1000 for scratch, 950 for a faster boat, 1100 for a slower boat). The system converts to TCF internally using TCF = 1000 ÷ PN. Higher PN = slower boat = more generous allowance.
• Time-on-Distance (PHRF): Enter the PHRF rating in seconds per nautical mile (e.g. 84). Higher rating = slower boat, larger allowance.

After updating ratings, navigate to the Standings page and click Calculate to recompute scores with the new values. For Low Point and Bonus Point fleets the Rating column is hidden — no value is required.

Certificate-Based Ratings (ORC / IRC)

For ORC and IRC handicap racing the single-number manual rating is often insufficient — ORC provides separate numbers for different wind speeds and course types, and mid-series certificate updates mean different races may use different values. To handle this, the system supports full rating certificates where each boat's correct number is resolved automatically per race.

Click the Certs button next to any entry to manage that boat's certificates. See Certificate-Based Handicap Scoring below for complete setup instructions.

When a race is configured to use certificates (by setting a Rating Method on the race), the certificate number takes precedence over the manual Rating field. If a boat has no certificate loaded, it will not be scored for that race and an error will appear on the Standings page.

Certificate-Based Handicap Scoring (ORC / IRC)

ORC and IRC ratings present two challenges that a single fixed number per entry cannot solve:

• Multiple numbers per boat — an ORC certificate contains separate ratings for different wind speeds (6, 8, 10, 12, 14, 16, 20 kn) and course types (windward/leeward, offshore, inshore). The correct number to use depends on the conditions of each individual race, decided by the scorer after racing.
• Mid-series certificate updates — a boat may receive an updated certificate during a series. Races before the update use the old certificate; races after use the new one.

To handle both cases, the system stores complete rating certificates against each entry. The scorer selects the rating method and conditions on each race record; the system looks up the correct value from each boat's active certificate automatically.

Step 1 — Load Certificates for Each Entry

1. Navigate to the fleet's Entries page.
2. Click the Certs button next to an entry. This opens the certificate management page for that competitor.
3. Click New Certificate and fill in the certificate details:
   • Type — IRC, ORC, PN, NHC, PHRF, or Other.
   • Certificate Number — the issuing authority's reference number (e.g. "GBR-2024-12345").
   • Issued By — the issuing office (e.g. "RORC Rating Office", "ORC").
   • Valid From / Valid To — the certificate's date range. If a boat updates her certificate mid-series, create a second certificate with the new date range. The system automatically selects the certificate that was valid on the race date.
   • Status — Active, Superseded, or Revoked. Only Active certificates are used for scoring.
4. Save the certificate. You are taken to the certificate detail page.

Step 2 — Add Rating Lines to the Certificate

On the certificate detail page, use the Add Rating Line form to enter each number from the certificate. A rating line consists of:

• Method — TCC (IRC Time Correction Coefficient), GPH (ORC General Purpose Handicap), TOD (ORC Time on Distance), TOT (ORC Time on Time), PLT, or PN (Portsmouth Number).
• Wind Speed — required for TOD and TOT, which vary by conditions. Select the knot band: 6, 8, 10, 12, 14, 16, or 20 kn. Leave blank for methods that do not vary by wind (TCC, GPH, PLT, PN).
• Course Type — select Windward/Leeward, Offshore, or Inshore if this number applies only to a specific course shape. Select Any course (the default) if the number applies regardless of course shape.
• Value — the numeric rating from the certificate.

Typical setup by certificate type:

• IRC: one line — Method = TCC, no wind speed, Course Type = Any course, Value = the TCC printed on the certificate (e.g. 1.0234).
• ORC (simple GPH): one line — Method = GPH, no wind speed, Course Type = Any course, Value = the GPH number.
• ORC (full): add one line per wind band and course type combination you intend to use for scoring. For example: TOT at 6 kn (Any course), TOT at 8 kn (Any course), TOT at 10 kn (Windward/Leeward), TOT at 10 kn (Offshore), and so on. You do not need to enter every line from the certificate — only the methods and conditions you will actually select when configuring races.

Repeat Steps 1–2 for every entry in the fleet. The manual Rating field on the entry is retained as a fallback for races not configured to use certificates.

Step 3 — Configure Each Race

After all certificates are loaded, configure each race to use them:

1. Open the race edit form (pencil icon on the Races page).
2. In the Certificate Rating section, set:
   • Rating Method — match the method on each boat's certificate (e.g. TOT for ORC Time on Time, TCC for IRC).
   • Wind Speed — the wind band that best represents the race conditions (required for TOD/TOT, leave blank for TCC/GPH).
   • Course Type — the course shape sailed (or leave blank to use each boat's "Any course" line).
3. Save the race, then click Calculate on the Standings page.

The scorer typically sets the rating method and wind speed after racing, once conditions are known. It is safe to record all finishes first and set the certificate configuration later — just click Calculate again after updating the race.

How the System Resolves Each Boat's Rating

When scoring a handicap race, the system resolves each entry's effective rating in this order:

1. If the boat has a per-race rating recorded on her finish for this race, that number is used. It outranks everything below, including the certificate lookup — see Per-Race Ratings below.
2. If the race has a Rating Method set, the system looks up the entry's active certificate valid on the race date. Within that certificate it finds the rating line matching the specified method, wind speed, and course type (preferring an exact course-type match, then falling back to the "Any course" line).
3. If no matching certificate or rating line is found, the boat is not scored for that race and an error is flagged on the Standings page.
4. If no Rating Method is set on the race, the system falls back to the entry's manually entered Rating field — the boat's series rating. This means you can mix certificate-based and manual-rating races in the same series.

Scoring Errors

After clicking Calculate, the Standings page displays a red Scoring Errors banner listing any boats that could not be scored because a matching certificate rating was not found. The banner shows the boat name, the affected race, and the reason.

To resolve errors: go to Entries → Certs for the affected boat, verify the certificate is active and covers the race date, and confirm there is a rating line matching the race's method, wind speed, and course type. Then click Calculate again.

Boats with scoring errors are excluded from the corrected-time ranking and do not receive a score for that race. All other boats are scored normally.

Mid-Series Certificate Updates

If a boat receives a new certificate during a series, create a second certificate record with the correct Valid From date and add its rating lines. Set the old certificate's Valid To date to the day before the new certificate takes effect. The system will automatically use the certificate that was valid on the date of each race — no manual adjustment of individual races is required. Click Calculate after loading the new certificate.

Per-Race Ratings

A boat normally sails a whole series on one rating — the Rating field on her entry. Sometimes that is not true. A dinghy may change rig size between races, so her Portsmouth number changes with it; a boat may sail one race short-handed, or with a different sail configuration, under a rating agreed for that race alone.

For these cases you can record a rating against an individual finish. It applies to that one race only and leaves the boat's series rating untouched.

Where to Enter It

A Rating column appears for handicap fleets (Time-on-Time and Time-on-Distance) in both finish-entry screens:

• Bulk Entry — a Rating cell on each boat's row, next to the elapsed time.
• Detail View — a Rating field on each recorded finish, and in the Add Finish form.

The field shows the boat's series rating as grey placeholder text. Leave it blank and the series rating is used; type a number and it overrides for that race. Clearing the field returns the boat to her series rating. Scores recalculate automatically on save.

What Units to Use

Enter the rating in the same units as the series rating on the Entries page — the column heading tells you which:

• PY — a Portsmouth number (e.g. 1218) for Time-on-Time fleets with Rating Format set to PN.
• TCF — a Time Correction Factor (e.g. 0.9823) for Time-on-Time fleets with Rating Format set to TCF.
• s/nm — seconds per nautical mile for Time-on-Distance (PHRF) fleets.

Precedence

A per-race rating is the strongest statement you can make about a boat in a race, so it wins over everything else: over a certificate rating attached to the finish, over the race's Rating Method certificate lookup, and over the entry's series rating. This is deliberate — no certificate can describe a boat that changed configuration for a single race.

One useful consequence: on a certificate-scored race, a boat carrying a per-race rating needs no certificate at all and will not raise a "no certificate" scoring error.

How It Appears in Results

Standings and the public results page show a rating column (PY, TCF, or s/nm) holding each boat's series rating. Where a boat sailed a race on a different rating, that rating is shown on a second line beneath her score for that race, in red. This matches the convention used by Sailwave and other scoring programs, so competitors reading the results can see immediately why a boat's corrected time does not follow from the rating in her row.

The same second line appears in the CSV and PDF exports.

Health Check

A boat with no series rating is normally reported by the Health Check as scoring 0.0 in all handicap races. If per-race ratings cover some of her races, only the races still lacking a rating are reported.
